Data Export & Deletion
1. Overview
This page explains how customers can get a copy of their data and how deletion works. It supports the Privacy Policy and the Data Processing Agreement.
2. What can be exported
A customer can request a copy of the data in its workspace, including: uploaded documents; document metadata (titles, dates, status); document requests and reminders; and basic account/workspace information. Internal system logs are not part of a customer export.
3. Export format
Documents are provided in their original uploaded file formats. Associated metadata is provided in a structured, machine-readable format (for example CSV or a documented file structure).
4. How to request an export
Send a request from the email address associated with the account to support@accordix.sk (or privacy@accordix.sk for a personal-data request). We may need to verify your identity and authority before fulfilling the request, and we will respond within the timeframes required by applicable law.
5. What can be deleted
On request, we can delete uploaded documents, workspace content, and account data. Some records may be retained where required for legal, tax, accounting, fraud-prevention, or security purposes, or where deletion is not yet technically possible (for example data already written to backups — see section 7).
6. Deletion after account termination
After an account is terminated, workspace data may be retained for a limited window to allow export, after which it is deleted unless earlier deletion is requested and is legally and technically possible.
- Active workspace data is retained while the account is active.
- After termination, data may be retained for up to 30 days to allow export, unless earlier deletion is requested.
- Backups may persist for up to approximately 35 days before being overwritten.
- Billing and security logs may be retained for a longer period where required for legal, tax, accounting, fraud-prevention, or security purposes.
7. Backup retention
Deleted data may continue to exist in routine backups until those backups are rotated and overwritten in the ordinary course. We do not restore individual deleted items from backups except as part of disaster recovery. Residual copies in routine backups are overwritten within approximately 35 days.
8. Legal and accounting retention responsibility
Customers remain responsible for retaining accounting records for the legally required period. Accordix provides document collection and organization tools, but does not replace the customer's statutory record retention obligations. Before deleting data in Accordix, customers should ensure they have retained whatever their own legal, tax, and accounting obligations require.
9. Limitations
- Export and deletion are currently handled as assisted requests rather than fully self-service.
- Deletion does not extend to data that must be retained by law or that remains in not-yet-rotated backups.
- We cannot delete data held by the customer outside Accordix (for example documents the customer downloaded).
